Communications Plan

At Chapel Hill United Methodist Church, it is our goal to communicate in such a way that each individual is given every opportunity to know what is happening at CHUMC. We also want to be as efficient as possible in our communications when we gather for worship so our attention can be directed appropriately during that time. Compliance with the following policy will aid CHUMC in meeting these goals.

Six weeks before your event:

  • Verbal announcement in worship – It is best if the responsible ministry staff or lay volunteer prepares the slideshow slide for the announcement and send it to multimedia@chapelhillumc.org by the end of the day on Tuesday. The office manager(s) may assist with preparing this slide, but it is encouraged that those planning events take full ownership for their promotion in this way. The best file formats are PowerPoint or.jpeg.
  • If you do not desire a graphic on the slideshow but would like a verbal announcement, please email your request, in writing, to office@chapelhillumc.org by 4 pm on Tuesday.
  • Fundraisers will be announced in Sunday School classes rather than worship at the six-week mark. You can prepare a flyer to hand out to the classes when you announce it at the six-week mark.

Five weeks before your event:

  • The responsible ministry staff or lay volunteer will submit written newsletter announcements with desired graphic in .jpeg format to office@chapelhillumc.org by the previous Friday for placement in the email newsletter. Again, the office manager(s) may assist with this graphic which could likely be the same as the slideshow graphic, but it is encouraged that those planning events take full ownership for their promotion in this way. The best file formats are PowerPoint or .jpeg.
  • The multimedia team will add the slide submitted six weeks prior to the event to the announcement loop in the sanctuary preceding worship. If no graphic is submitted six weeks prior to the event, we will resume announcing the event when the event is three weeks away as explained below.
  • The responsible ministry staff or lay volunteer will post the event on the Chapel Hill United Methodist Church Facebook page. If the staff or ministry volunteer has not yet been granted permission to post on Facebook, contact the office manager(s) so that permission may be granted. Permission to utilize CHUMC’s Facebook page will be subject to review if misused.
  • Fundraiser announcements will be submitted for the newsletter by the previous Tuesday. 

Three weeks before the event:

  • Pulpit announcements will resume with the previously prepared graphic unless an updated graphic is submitted. If no graphic was submitted previously, a graphic may be submitted now. Otherwise, verbal announcements, without slideshow graphic will resume. Again, the office manager(s) may assist with this graphic which could likely be the same as the slideshow graphic, but it is encouraged that those planning events take full ownership for their promotion in this way. The best file formats are PowerPoint or .jpeg.
  • The responsible ministry staff or lay volunteer will submit written newsletter announcements to office@chapelhillumc.org by the previous Friday for placement in the email newsletter.
  • Flyers for the German ISD, German Worship, Chapel Hill Preparatory Academy, Project Transformation, the recreation center, and other schools as appropriate will be prepared and distributed by the responsible ministry staff or lay volunteer.
  • Fundraisers will be announced in worship, posted on the Chapel Hill United Methodist Church Facebook page, and flyers distributed where appropriate. The responsible ministry staff or lay volunteer will be responsible for submitting the slide for the worship slideshow to multimedia@chapelhillumc.org. Again, the office manager(s) may assist with this graphic which could likely be the same as the slideshow graphic, but it is encouraged that those planning events take full ownership for their promotion in this way. The best file formats are PowerPoint or .jpeg.

Calendaring Events:

  • All events must be scheduled by submitting a written Event Request Form. These forms may be completed and submitted in the church office or submitted through the link at the top of our home page for chapelhillumc.org.
  • Failure to submit the Event Request Form could result in your desired space being reserved for another ministry/party.

Newsletter Submissions:

  • Any newsletter submissions must be submitted by 4 pm Wednesday the week before the newsletter edition for which it is to be included. Late submissions may not be included if time or space does not allow. Please note that if more newsletter items are submitted than space allows, the pastor and office managers will determine, based on urgency and an announcement’s relation to our mission “to make disciples of Jesus Christ for the transformation of the world,” which announcements will be included in the print newsletter.

Bulletin Inserts:

  • Inserts will need to be submitted by Wednesday morning of the week you desire the insert to be placed in the bulletin, unless the ministry staff and/or lay volunteer responsible for the insert prepares the insert and places it in the bulletins themselves.
