Standards and Procedures for Bulletin Inserts and Promotional Graphics/Announcement slides

There are new standards and procedures for both bulletin inserts and any promotional graphics/announcement slides. If you have any event or announcement that you are wanting to announce on Sunday morning, whether by an announcement slide or bulletin insert, please refer to the standards and procedures that you can find in folders on the narthex table.

The following is required for any bulletin inserts that are going to be printed by the church for the Sunday bulletins:

·         All inserts must be provided by the person/committee in charge of the event or mission. Staff will not be in charge of providing/creating inserts.

·         All events must be properly approved before inserts will be accepted (i.e. Event Request Form, through Church Council, through Finance for fundraisers, etc.)

·         All inserts must be emailed for approval to office@chapelhillumc.org by Thursday at 4pm before the Sunday that you are wanting the insert to be in the bulletin.

o    The following information must be included in your email:

§  Your attached bulletin insert

§  The name of the person/committee that approved your event

§  An attached Event Request Form for the event (if applicable)

·         At least the following information must be included in your insert:

o    The name of your event/mission

o    Date, time, and location of your event OR how long your mission will be going on, where the supplies will need to be dropped off, what is needed to be supplied, and what the organization is

·         The insert must be formatted in a Word Document on half a page

·         All inserts will be printed in black and white

·         If you are wanting colored graphics:

o    You must print your own inserts at home

o    You must stuff the insert in the bulletin yourself

 

The following is required for any promotional graphics or images to be used for the Sunday morning announcement slides:

·         All graphics must be provided by the person/committee in charge of an event. Staff will not be in charge of providing/creating graphics.

·         All events must be properly approved before promotional images will be accepted. (i.e. through an Event Request Form, through Church Council, through Finance for fundraisers, etc.)

·         All graphics must be emailed for approval to multimedia@chapelhillumc.org by Monday at 5pm. If your image is approved, it will be included in the presentation on the following Sunday morning. We will no longer accept hard copies of information.

·         The following information must be included in your email:

·   Your attached promotional image

·   The name of the person/committee who approved your event

·   If your image was preapproved, please include the name of the person who approved your promotional image

·   An attached Event Request Form for the event.

·         At least the following information must be included in your graphic:

·         The name of your event

·         Date, time and location of your event

·         Name of ministry/committee/person in charge of the event

·         Cost (if any)

·         The Multi-Media Team/Pastor has the final say and editorial rights to any promotional images that have been sent in.

·         The standard time for a graphic to be displayed in the announcement slides is three consecutive weeks. If your event requires something other than that, you will need to get this approved by the Multi-Media Team/Pastor.

·         Graphic must be aesthetically pleasing and easy to read.

·         Pictures must be:

·         .jpeg or .png

·         At least 1500 x 845 pixels

·   PowerPoint allows users to save a slide as a JPEG- You don’t have to use a program like Photoshop to make a graphic. Your image can be created as a PowerPoint slide as long as you save it as a JPEG.
